The Complete Mobile Bar Equipment Checklist

Forgetting one small item can slow down an entire service: a missing jigger, no spare CO2, a bin that fills up by hour two. This checklist is organized the way a bartender actually works: tools in hand, service equipment on the counter, storage behind them, technical systems running quietly underneath, and the customer-facing side that guests actually see. Run through it before every event, whether you're setting up a wedding bar or restocking a rental fleet.

Tools

  • Cocktail shakers (Boston and/or cobbler)
  • Jiggers, in more than one measure
  • Bar spoons
  • Strainers (Hawthorne and fine mesh)
  • Muddler
  • Speed pourers for high-use bottles
  • Channel knife / peeler for garnish
  • Cutting board and paring knife
  • Ice scoop (never use a glass to scoop ice)
  • Bottle opener and waiter's corkscrew

Service Equipment

  • Speed rail for core spirits
  • Ice well, sized to guest count and event length
  • Glassware racks or crates, sorted by glass type
  • Napkins, coasters, and stirrers
  • Garnish trays or small chilled containers
  • Menu cards or a visible drinks list
  • Spill mat behind the bar for grip and drainage

Storage

  • Lockable cabinet or door for spirits and cash
  • Backstock shelving for full bottles
  • Under-counter or back-bar fridge for beer, wine, and mixers
  • Dry storage for napkins, straws, and consumables
  • A designated bin for empty bottles and recycling

Technical Systems

  • Fresh-water tank and waste tank if the bar includes a sink
  • Battery or mains power for lighting and any refrigeration
  • CO2 and line cleaning kit if serving draft beer or soda
  • Spare fuses, tape, and basic tools for on-site fixes
  • A backup plan for power or water if the primary system fails

Customer-Facing Items

  • Branding, including logo panels, signage, or wraps
  • Lighting, especially for evening events
  • A clean, presentable front-of-bar surface with nothing but the menu and any decor visible
  • Tip jar or contactless tip prompt on the POS
  • POS or card reader, positioned for easy guest access

Before You Load the Van

Walk the list top to bottom against your actual guest count and drink menu. A 50-guest reception and a 300-guest festival need very different quantities of ice, glassware, and backstock, even with an identical equipment list. Missing an item on this list usually means an improvised fix mid-service; checking it the night before means it doesn't.
